Job summary
The Real Estate & Facilities (RE&F) Manager must be comfortable discussing strategic matters and operating at a tactical level, simultaneously acting as an internal ambassador, mentor, analyst, solutions architect, implementer and cost controller.

The RE&F Manager is an experienced and vibrant professional who excels within an entrepreneurial culture – providing vision, leadership, and communication – but not afraid to dive into details. She/he has a passion, in-depth knowledge, and operational experience in Real Estate and Facilities Management Operations as well as in financial management. The RE&F Manager also has experience developing, implementing and managing a number of scalable programs and is an excellent communicator.

The RE&F Manager is responsible for building relationships within a regional / global GREF team. Partnering with key vendors and internal business partners is critical to operate within a fast-paced and complex environment. A successful candidate is the key Business Partner to Amazon’s growing teams across the area / region, earning their trust and building sustainable plans to help them grow their business.

The RE&F Manager must also drive cost management in their portfolio – review and agree on budgets and ensure these are adhered to, working with Procurement and service providers to achieve best in class service and target reduced delivery costs where possible.

RE&F Manager are required to have a detailed understanding of their portfolio and key customers (businesses). The RE&F Manager is empowered to deliver results independently but in collaboration with all internal stakeholders (i.e. Project Managers, Security, Environmental Health and Safety, Transactions Management, Legal, HR etc.). He/she shows sound business judgement and makes high velocity decisions to continually raise the bar for customer experience. RE&F Manager works with internal and/or external partners to ensure facility(s) and/or program(s) is aligned with organizational objectives.

Overall Responsibility
• Ensures the GREF vision, standards and policies are implemented, managed and adhered to. Drive timely crisp decisions and audit frequently to ensure delivery.
• Provides strategic direction to facilities management teams (direct reports and outsourced vendor teams) who oversee facilities operations of area/locations/sites.
• Establishes priorities, drives improvements that are quantified with metrics, and influences resource allocation.
• Mentors, develops, and coaches a team of facilities managers and their teams to strengthen their leadership and assist in achieving career growth
• Participates in any site/country/area level crisis including local FM, HR, Business Assurance Centre (BAC), Corporate Security, Business Continuity (risk/legal when required)also establishes and maintains open, positive relationships with team and customers (Amazon employees)
• Writes effective narratives (e.g., Amazon 6-pager, PR/FAQ, reporting, etc.) and presents them effectively to leaders up to 3 levels above.
• Builds relationships with key business stakeholders by monitoring and listening to feedback, delivers bespoke reporting for business-critical elements including occupancy, new site launches and facility improvements.
• Ensures that the buildings for which responsibility is held are presentable, clean, safe and an environment for occupants and visitors.
• Ensures that the Facilities Management and Real Estate Services are performed and delivered in accordance with contracts, global and regional KPIs
• Ensures that all relevant financials by are/country, building and projects are aligned with budgets, compliance and specific timelines.
• Effectively manages escalations, correction of errors, demonstrating sound judgment in making required trade-offs between business opportunity vs. resources vs. sustainability.

Principal Job Responsibilities
Customer Obsession & Business Partnering
• Develop and manage strong relationships with key business stakeholders. Communicate GREF strategies for the sites with business stakeholders, whilst monitoring and translating feedback into actionable tasks.
• Be the primary point of contact for business customers in all GREF matters

People Management – performance, talent management
There may be a requirement to undertake performance reviews and develop, train and manage team members if required. The usual remit will be with the direct reporting lines within the service provider teams, however this may develop, change and restructure as the role, sites, and businesses develop and change.

Property/Portfolio Management
• Maximize the potential of the building portfolio while improving space utilization, ensuring assets are kept in good order and business needs are met.
• Work together with the landlord, lease relationships and sub-tenants (where applicable), lease administration team, and Transaction Managers.

Project Management
• Ensure that the premises are properly utilized as designed and projects meet agreed upon timelines and budgets that moves/post occupancy projects are carried out efficiently and that the necessary approvals are obtained.
• Oversee new building openings, expansions and significant post occupancy projects working together with the Workplace design & Construction team and vendor partners to meet project scope, managing communication with the occupants, country leaders and works councils.
• Work together with the Transaction team on decommission strategies throughout the business and execute for responsible countries.
• Ensure visibility on risks, budget changes, delays and overall project-related timelines and delivery details.
• Deliver on Amazon’s commitment on the Climate Pledge, diversity and inclusion standards, and sustainability goals

Financial Management
• Work together with the Finance Manager to prepare annual budgets, manage and report on monthly operating expense for the region versus budget, including providing forecasts.

Space and Occupancy
• Manage all new space requests with our customers by consulting with them, documenting these requests and progressing through the Review, Approval & Project delivery process
• Manage the quarterly headcount review process within the Area with support from the Occupancy Planning team to ensure smooth data gathering and understanding of future demand for space.
• Embed space and occupancy changes in real estate strategy formulation and delivery

Facilities Management
• Accountability for ensuring the delivery of bar raising Facilities Management services. Provide management, direction, monitoring and evaluation of performance and delivery against the agreed KPIs.
• The on-site FM teams will be reporting to the RE&F leads / Area Manager [whichever applicable]as well as their internal managers for all day-to-day activities.
• Review and action KPIs

Procurement and Sourcing
• Work together with the Procurement team to ensure our key suppliers remain competitive whilst providing a quality service, and new services are procured using a robust sourcing framework.
• Oversee IFM related purchasing exercise, make sure GCP policy compliant

Legal & Compliance, Tax and Risk,
• Comfortable with legal terms and structures for standard commercial contracts and leases.
• Advise business on entity set up impact on leasing, special economics zones etc.
• Ensure compliance with local and federal regulations pertaining to building operations, including EH&S and Environmental norms

BASIC QUALIFICATIONS

A minimum of 10-15+ years professional experience required – a significant portion of which should demonstrate success in managing a property and facilities organization of similar size and complexity and building/maintaining relationships with internal customers. • Demonstrated experience as a leader with 7+ years of senior management responsibilities • Experience building and managing a team or department within a startup or entrepreneurial setting, particularly one with both proprietary and contract resources • Bachelor’s degree in related field

PREFERRED QUALIFICATIONS

• A track record of championing speed, flexibility and frugality in the face of rapid change and extremely heavy workload • Highly competent with personal computers and productivity software, including Microsoft Outlook, Word, Excel, Project, and SharePoint • Exceptional communication skills; proven ability to lead cross-functional teams through influence versus direct management; excellent interpersonal skill • Strong interpersonal skills • Understanding of sourcing/procurement, building systems and maintenance, vendor management and customer service • Comfortable with legal terms and structures for standard commercial contracts • Proven self-starter who sets aggressive goals and consistently gets results • Demonstrated ability to think strategically and successfully execute tactically • Effective resource management and program management skills
