Joining the innovative and highly regarded supplier team within the Supply Chain Services’ Travel Meetings and Events team will give you an opportunity to work with some of the biggest and best suppliers in the travel industry, shaping their relationship as vendors at EY, to deliver value, service and experience to EY travellers.
The opportunity
The Lodgings Support Associate role is key to delivering great service via our suppliers, maintaining strong commercials, opening up innovative approaches to supplier management, aligning to the latest in supplier technology and distribution, and keeping on top of the administrative work needed to support these large contracts.
Your key responsibilities
This role, reporting into the Global Lodgings Supplier Manager, will be primarily responsible for the administrative delivery of the global lodgings category, encompassing the hotel chains, the long stay programme, Airbnb, and associated solutions such as the Project Rate Desk and third party technology e.g. Tripbam.
This role will support the Global Lodgings Manager in achieving contract and independence process compliance, supporting the administration of the multiple programmes (as detailed below), distributing and escalating promotion offers and achieving the category’s QV targets.
The role holder will also own certain supplier relationships, and will be expected to work with guidance from the Supplier Manager on this by themselves.
The role holder will interact frequently with the Global Lodgings Leader, and will be part of the wider global category team within TME (also part of the Developed Markets Leader’s team structure)
It is expected that the role holder may from time to time support the airline or ground categories with similar functional support as listed below.
Continuous review of primary market city caps to ensure EY rates are in policy.
Manage the Project Rate Desk globally, ensuring negotiated savings, consistent service from the TMC and captured savings submitted on a quarterly basis.
Project manage the development and maintenance of the lodging supplier marketing plans, and hold the EY team and the suppliers to account for delivering to the timelines and expectations in these plans.
Ensure EY SCS contractual process is adhered to for new / expiring / amending contracts or SOWs, including contract storage, BRIDGE, PIAs, Infosec as may be needed.
Manage and oversee their designated supplier relationships, owning the relationship in all aspects such as contract, reviews, compliance, performance, output, and marketing plans, with close supervision by the Lodgings Manager or Leader.
Analyse data to ensure that the Lodgings programmes are relevant to EY requirements, and make recommendations for any gaps identified to the Global Lodgings Manager
Work with third parties such as the TME designated TMCs, MMCs, SMTs, and consulting companies.
Gain an understanding of the interrelation between the client-serving business, the internal customers, member firms, and key operational departments as it pertains to suppliers which are also clients.
Support the Global Lodgings Manager and the Global Lodgings Leader on planning for supplier reviews as well as interactions with EY leadership, including the suppliers’ GCSPs (and teams), for example through creating reports or discussion topics, and support on strategy of reviews.
Educate themselves to the wider economic and industrial factors that impact success of our Lodgings Programme, including price changes, supplier developments, technological advancements.
Support the Supplier Manager with ensuring the value of the Lodgings Team is well understood within the EY programme
As and when required support on supplier RFPs ensuring all Procurement policies and procedures are adhered to.
Create a strong network and ensure excellence in reputation among suppliers through demonstrated ability to drive volume, control policy, monitor performance and deliver on contractual targets
Establish and promote the vision and mission of Travel Meetings & Events Services
Skills and attributes for success
The role holder will be empowered to own the plan with selected suppliers, creating a marketing plan and deciding the direction for that supplier within the overall programme.
Review metrics (including cost, best practice, environmental factors) demonstrated by EY as it relates to Lodgings, and make recommendations to the Lodgings Manager and Leader on how to adjust this behaviour.
Analyse large sets of data from within TME and provided by our suppliers.
Review industry reporting with ease and takeaway key factors that should be implemented within the EY lodging program.
To qualify for the role you must have
Knowledge of travel, meetings & events industry.
Ability to build effective and trusting relationships with key stakeholders.
Good customer service focus and relationship management.
Ability to communicate to, challenge and persuade employees at all levels.
Understand basic contracting terms.
Awareness of EY sustainability goals, and of EY SCS Sustainable Procurement protocols.
Ideally, you’ll also have
Able to work as part of a team and understand the impact of actions on the overall team as well as to be able to work independently
Ability to manage SLA and KPI elements of contracts and ensure delivery to set targets
Ability to adapt to new challenges and ideas, analytical capabilities
Effective written and verbal English skills
An eye for doing things differently and a comfort with challenging the established process.
Experience managing projects
Good MS Office skills, in particular Excel and Powerpoint.
